Terms of Service

The terms on which libraries use the service: trials, plans, ownership of library data, AI features and what happens if a library decides to leave.

01The service

The service is hosted library management software made up of Catalogue Studio, Circulation Desk, RFID Gate, E-book Shelf, AI Reading Guide, Member Cards and Library Reports. The modules available to a library depend on its plan.

These terms apply to the institution that signs up (the library) and to the staff it allows to use the service.

02Accounts and staff access

  • The person signing up must be authorised to act for the library.
  • The library decides which staff have access and what each role can do, and is responsible for keeping logins private.
  • The library must tell us promptly if it believes an account has been used without permission.

03The 30-day trial

A new library can use every module free for 30 days. At the end of the trial the library can choose a plan to continue with the same data. If it does not, the trial ends and the library can export its records.

04Plans, collection size and billing

  • Plans are priced per library per month, or per network for the Encyclopaedia plan, by the number of book copies in the catalogue.
  • Yearly plans are billed in advance for twelve months. Monthly plans are billed at the start of each month.
  • If a collection grows beyond its plan's limit, we will ask the library to move to the next plan from the next billing period.
  • RFID hardware, tags and third-party e-resource subscriptions are not part of the plan price.

05Library data belongs to the library

Catalogue records, member records, circulation history and uploaded files remain the property of the library. We use them only to provide the service.

The library can export its catalogue in MARC 21 or Excel, and its member and circulation records in CSV or Excel, at any time during its subscription.

06Member data and consent

The library is responsible for having the right to add member records to the service, including any consent needed from parents or guardians for children in school libraries.

07AI features

Catalogue Studio drafts subjects, keywords and summaries for librarians to review. The library is responsible for approving these drafts before they are published in its catalogue.

The AI Reading Guide suggests titles from the library's own collection and subscriptions. Suggestions are a reading aid and do not replace the judgement of librarians and teachers.

08Licensed e-resources

Access to e-books, e-journals and databases through E-book Shelf is subject to the terms of each publisher or consortium. The library is responsible for following those licence terms, including limits on remote access and downloads.

09Acceptable use

  • Do not upload material the library does not have the right to share.
  • Do not attempt to access other libraries' data or interfere with the service's security.
  • Do not use member data for any purpose other than running the library.

10Availability and support

We aim to keep the service available at all times and schedule maintenance outside library working hours where possible. Support is available by email, with priority support on Hardcover and Encyclopaedia plans.

11Ending a subscription

A library can cancel at any time. Monthly plans end at the close of the current month. After cancellation, the library has 30 days to export its data before it is deleted from active systems.

We may suspend an account that seriously breaches these terms, after giving notice where possible.

12Limitation of liability

The service is provided with reasonable care and skill. To the extent the law allows, our total liability for any claim is limited to the fees the library paid in the twelve months before the claim.

13Governing law

These terms are governed by the laws of India, and the courts of Gujarat have jurisdiction over any dispute.
